Description: SUMMARY Under the direct supervision of the Director of Senior Services Program, the Administrative Coordinator is responsible for providing clerical and administrative support to the Senior Services Program Director and staff. PRIMARY RESPONSIBILITIES 1. Maintain SAMS database system Meals on Wheels clients. 2. Updating client intake forms and data entry of new intake forms into the SAMS information system. 3. Represent the mission of the YWCA in a professional and constructive manner. 4. Prepare Monthly Activity Summary reports for review of Director and approval by the Executive Director. 5. Preparing purchase requests and following through with the Finance Department. 6. Assisting with billing, to include verification of meal sheets and transportation sheets. 7. Prepares meal orders daily, confirm changes and fax meal order confirmation to Food Service Provider. 8. Responds to incoming client information, assistance, referrals, and client emergency situations. Distributes information to and collaborates with Division Managers, Client Services Manager, and Director. 9. Preparation and printing of forms used by Division Managers, Site Coordinators, and Home Delivered Meal Drivers for congregate meals and home delivered meals. 10. Contacts vendors for clarifications, changes, questions, as needed. 11. Supports Senior Services Department staff in maintaining logs of inspection schedules, certification and training needs, waiting lists, client files, and calendar of activities. 12. Provide clerical support to the staff of Senior Services Program. 13. Perform other duties that may be assigned.
Skills: KNOWLEDGE AND SKILL REQUIREMENTS  High school diploma or equivalent required, some college preferred  Ability to handle multiple tasks  Ability to handle high level computer functions, to include intense data entry and data tracking  High volume processing  Must be proficient in Microsoft Word and Excel  Demonstrated ability to handle confidential information  Detail-oriented with excellent organizational skills  Ability to foster a workable, effective, and productive relationship with all stakeholders including staff, volunteers, and participants  Ability to compose letters, documents and forms. Note: Part-time work experience will be counted as half of full-time experience; for example, two (2) years of part-time experience will equal one (1) year of full-time experience WORKING CONDITIONS Work is carried out in a controlled, agreeable environment as generally represented by normal office conditions. Must be able to lift at least 50lbs. CRIMINAL HISTORY BACKGROUND CHECK NOTIFICATION All new hires will be required to undergo a pre-employment Criminal History Background Check. A pre-employment Drug Test and/or Alcohol Test is also required.
Education: High School/GED
